Privacy Policy

Last updated: 23 October 2026

This policy explains what personal data Dcode Technologies LLC collects through this website, why we collect it, how long we keep it and what rights you have. We have written it to describe what the site actually does, and we will update it if that changes.

1. Who we are

This website is operated by Dcode Technologies LLC, trading as DCODE Technologies, a company in the United Arab Emirates. We are the controller of the personal data described below. You can contact us at:

  • Email: contact.uae@dcode-tech.com
  • Phone: +971 50 562 8508

2. What data we collect

When you submit the consultation form, we receive what you type into it:

  • your name, email address, phone / WhatsApp number with country code, and company name (required);
  • your company website, country and industry (optional; the country field is pre-filled with United Arab Emirates and you can change it);
  • your project budget range (required, chosen from a list);
  • the description of the work you would like to automate (required). Please do not include sensitive personal data, passwords or confidential client information in this text.

Collected automatically when you submit the form, for spam prevention and security:

  • a hidden form field that people leave empty and bots tend to fill in (a honeypot);
  • a signed timestamp showing when the form was opened, used to reject submissions sent implausibly fast;
  • where you came from, to understand which campaigns bring enquiries: campaign tags in the address you arrived on (utm_source, utm_medium, utm_campaign, utm_term, utm_content), the website that referred you, the page you landed on, and your browser's user-agent text (browser and device type). The page keeps the campaign tags, referrer and landing page in your browser's session storage while the tab is open and sends them with the form;
  • your IP address. We do not store it in readable form for rate limiting: it is combined with a secret value and turned into a one-way hash, which names a small file that holds only the times of your recent submissions. The same IP address and the time of the request also appear in the notification email sent to our team.

Where it is stored. Every enquiry is saved in our own lead database on our hosting provider's servers, so it is not lost if an email fails. The database holds the details above, a hashed (not readable) version of your IP address, the status of your enquiry, and notes written by our team. It is accessible only to our staff through a password-protected admin area.

Emails. Submitting the form sends two emails through our email provider: a notification to our team containing the details above, (with a link to your enquiry in our admin area), and an automatic confirmation to the address you gave, which uses your name only.

Server logs. Like any website, our hosting provider records standard technical logs (such as IP address, browser type and the pages requested) to run and secure the service. These logs are managed by the provider under its own policies.

We do not use analytics, advertising or tracking tools, and we do not collect data about you simply from you browsing the site.

3. How and why we use your data

  • to read and respond to your enquiry, including by phone, WhatsApp or email, and to discuss a suitable approach with you;
  • to send you the automatic confirmation that we received your request;
  • to keep a record of enquiries in our lead database, follow them up and track their progress (for example contacted, proposal sent);
  • to understand which marketing campaigns and pages generate enquiries;
  • to prevent spam and abuse of the form (honeypot, timestamp and rate limiting).

We do not use your details for automated decision-making or profiling, and we do not add you to a marketing list because you used the form.

4. Legal basis and consent

We process your data in line with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the UAE PDPL). For the form, our basis is your consent, which you give by submitting it after reading this policy, and, where you ask us for information about our services, steps taken at your request before entering into a contract. We rely on our legitimate interest in keeping the site secure for spam prevention where the law allows. You can withdraw consent at any time (see section 9).

5. Sharing

We do not sell your personal data and we do not share it for advertising. Your data is handled only by the service providers that run the site and our email: our web hosting provider (Hostinger), which also hosts our lead database, and the email service attached to our business mailbox. They process data on our behalf to deliver those services. We may also disclose data if the law or a competent authority requires it.

6. International transfers

Our hosting and email providers may operate servers outside the UAE, so your data may be stored or processed in other countries. Where that happens we rely on the safeguards the UAE PDPL provides for transfers, including our providers' contractual and security commitments.

7. Retention

  • Enquiry emails and lead records (database entries, status and notes): kept for up to 24 months after our last contact with you, then deleted, unless we need to keep them longer to meet a legal obligation or because you became a client.
  • Rate-limit records (hashed IP and submission times): deleted automatically after 24 hours.
  • Hosting server logs: kept by our hosting provider for the period set in its own policy.

8. Security

The site is served over HTTPS, the form checks its input on the server, form emails are sent over an authenticated, encrypted connection, access to the receiving mailbox is limited to our team, and credentials are kept in a configuration file that is not served publicly. Our lead database sits behind a password-protected admin area that uses hashed passwords, limits repeated sign-in attempts and signs staff out after inactivity. No method of transmission or storage is completely secure, but we take reasonable technical and organisational steps to protect your data.

9. Your rights

Under the UAE PDPL you may, subject to its conditions and exceptions, ask us to:

  • confirm whether we hold your data and give you a copy (access);
  • correct data that is inaccurate or incomplete;
  • delete your data or restrict how we use it;
  • stop processing based on consent by withdrawing that consent (this does not affect what we did before you withdrew it).

To make a request, email contact.uae@dcode-tech.com from the address you used on the form so we can find your enquiry. We may ask you to confirm your identity, and we will respond within the time the law requires. If you are unhappy with how we handle your data, you can also contact the UAE Data Office.

10. Cookies

This website does not set cookies. It uses your browser's session storage for one purpose only: after you submit the consultation form successfully, your first name (nothing else) is held in session storage just long enough for the thank-you page to greet you by name, and that page deletes it immediately after reading it. Session storage is also used to remember, while the tab stays open, the campaign tags, referrer and landing page described in section 2 so they can be sent with the form; your browser clears it when you close the tab. The first name is never put in a web address, never sent to a server and never shared. If you visit the thank-you page directly, it shows a generic message. We do not use local storage. All fonts, scripts and images are served from our own site; the pages do not load third-party scripts, fonts, analytics or trackers. We will update this section and ask for your consent first if that changes.

11. Children

Our services are for businesses and the site is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us data, email us and we will delete it.

12. Changes to this policy

We may update this policy when our practices or the law change. The date at the top shows when it was last updated, and we will post the new version on this page.

13. Contact

Questions about this policy or your data: contact.uae@dcode-tech.com or +971 50 562 8508.
